As a People Services Projects Assistant at our Highbridge office, you'll be part of a supportive, motivated, and fun team. This is a great opportunity for someone with excellent administration and communication skills to collaborate with our co-owners, People Managers, and HR People Partners across all sites, ensuring smooth support for the employee lifecycle from onboarding to offboarding.

The role offers hybrid working (3 days in the office and 2 working from home) and is a 12 months fixed-term contract with the potential to become permanent.

Key Responsibilities:

  • To provide project support to the 'Project Specialist - People Services' to enable the successful implementation of the iTrent system

  •  To accurately update and maintain employee files including data entry on the HR Management Information and Payroll systems and maintaining ‘E files’ in line with the internal standardised referencing procedure

  • Provide support to People services team on all employee administration processes to ensure consistent data between Dynamics AX HR, iTrent and business requirements.

  • To process leavers (including all correspondence and system updates), ensuring archiving disciplines are maintained. Supporting the process to obtain and analyse exit data.

  • Respond to employee data queries sensitively and with appropriate discretion; providing solutions to problems based on defined procedures and referring all judgemental queries appropriately.

  • Ensure all matters are dealt with fairly and consistently in line with legislation and Yeo valley’s policies and procedures.

  • Respond promptly to data processing queries from employees / managers / HR (within agreed parameters and ensuring GDPR compliance)

  • Adopt a mind-set of continuous to work practices and processes to improve efficiency (whilst maintaining compliance with defined procedures) and identify areas for process improvement for consideration.

Sounds interesting, what do I need?

    • Relevant Experience: Proven track record in a similar role (preferably within an HR or Payroll team).
    • Excellent Communication: Strong verbal and written communication skills.
    • Contract Management: Experience in issuing employment contracts and handling contract changes, including flexible working requests.
    • Problem-Solving: Solutions-oriented with a forward-thinking approach, always looking for ways to drive improvements.
    • IT Proficiency: Proficient in Microsoft Office.
    • Workload Management: Ability to efficiently manage your workload and meet agreed Service Level Agreements (SLAs).

    Bonus Points If:

    • You have experience in the dairy or FMCG industry.
    • You’ve worked in a Shared Services environment.
    • You’re familiar with ticketing systems like Zendesk and recruitment software such as Application Tracking (ATS) recruitment software and/or iTrent (our HR & Payroll system)
    • You understand various shift profiles, as we operate 24/7
